Google Adds Gemini AI To Sheets To Generate Text

Google is adding more intelligence by introducing a new Gemini AI function in Google Sheets.

This tool can now generate text directly in your spreadsheet, based on cell contents, to simplify everyday tasks like writing, summarizing, and sorting.

Context-Aware AI

When prompted, Gemini AI works by reading the values in selected cells, then it responds with relevant text.

This can be a sentence, a label, or a short paragraph. It depends on the instructions. To use the feature, you enter a simple formula such as:

=AI(“Write a formal ad copy for the product. Cater copy to the objective and target audience”, A2:C2)

Gemini will read the data in A2 to C2 and generate a matching ad. This saves time and reduces repetitive work.

This new function has several applications: marketing teams can generate personalized ad copy. 

Support teams can summarize customer feedback. Business owners can classify messages or requests.

Another example:

=AI(“For the customer, write a one sentence summary of their feedback.”, A2:D2)

Here, Gemini will provide a summary of each review. You can also categorize entries, such as labeling messages as “compliment,” “exchange,” or “return.” It can even organize locations.

Easy To Use

The function is simple: highlight the cells, type the formula, and Gemini fills in the blanks. It’s fast and efficient, as there is no need to switch tabs or open extra tools.

This is how the function works: 

=AI(“Your instruction”, [selected cell range]). Also, it uses plain language, not special coding knowledge.

Important Limits

The feature has some limits. It only works with text-based responses, cannot generate images or charts. Also, it cannot read an entire spreadsheet or access Drive files (a plus).

Gemini can process up to 200 cells at once. If there’s a need for more, wait for the current output, then select another range. 

This may slow down work with large datasets.

Who Can Use It

This function is not available to all users. Personal Google accounts may not see this feature right away, as access depends on your plan.

It is rolling out to:

  • Google Workspace users on Business and Enterprise plans
  • Gemini AI Pro and Ultra subscribers
  • Users with the Gemini Education plan or add-on
